Purpose
International Workplace Group plc (‘IWG’) is committed to engaging with its stakeholders to ensure that their perspectives inform our business decisions and sustainability priorities.
This policy supports transparency, trust, and accountability, helping IWG to:
- Build a resilient and inclusive organisation
- Identify and manage environmental and social risks and opportunities;
- Strengthen compliance with applicable laws and standards; and
- Contribute positively to people, communities, and the environment.
Through structured and continuous engagement, IWG seeks to understand stakeholder expectations, assess material topics, and inform decision-making consistent with our purpose of helping millions of people have a great day at work, every day.
Scope
This policy applies to all IWG employees, contractors, customers, landlords, building owners, supply chain partners, suppliers and our local communities.
The Policy includes details on procedures and actions including:
- Engagement Principles;
- Engagement Methods;
- Monitoring; and
- Evaluation
Definitions
Just Transition: means an inclusive approach to sustainability that ensures the shift to a low-carbon, nature-positive economy happens in a fair and equitable way.
Stakeholder: means any individual, group, or organisation that may affect, or be affected by IWG’s operations, decisions, and impacts. This includes employees, customers, investors, suppliers, landlords, building owners, communities, regulators, and NGOs.
Policy Statement
The following outlines our guiding principles in relation to our Stakeholder engagement in IWG’s decision-making process.
Compliance with Legal Requirements
IWG is committed to compliance and will endeavour to meet all regulations and standards related to Stakeholder engagement. We will annually review and update our Stakeholder Engagement Policy to reflect changes to the business and changes in applicable laws and regulations.
Engagement Principles
IWG’s Stakeholder engagement is guided by the following principles:
- Inclusiveness: We identify and engage stakeholders who are affected by or have influence over our operations.
- Transparency: We provide accurate, balanced, and timely information about our sustainability performance and impacts.
- Materiality: Engagement supports our double materiality assessments, helping us to identify the most relevant environmental and social issues for IWG and our Stakeholders.
- Responsiveness: We listen to feedback and integrate relevant insights into our strategies, policies, and operations.
- Continuous Improvement: Engagement outcomes inform the evolution of IWG’s sustainability approach and disclosure practices.
Engagement Methods
IWG engages with its Stakeholders, to understand their expectations, concerns, and feedback related to environmental matters. Additionally, IWG may engage with external organisations, experts, and peers to exchange best practices, enhance transparency, and contribute to collective efforts to address global Sustainability challenges.
IWG uses a range of engagement mechanisms tailored to different Stakeholder groups, including but not limited to:
- Employees: Surveys, workshops, town halls, training sessions, and internal communications.
- Customers: Feedback channels, satisfaction surveys, and targeted consultations.
- Suppliers and Partners: Supplier Code of Conduct, ESG questionnaires, and performance reviews.
- Investors: Annual general meetings, and direct dialogue on sustainability topics.
- Communities: Local engagement, charity initiatives and collaboration with NGO’s.
- Regulators and Peers: Participation in industry associations, reporting dialogues, and benchmarking exercises.
IWG communicates its efforts, progress and performance to its stakeholders through reports and disclosures, adhering to relevant reporting frameworks and standards.
Transparent communication of engagement outcomes is provided through:
- The Annual Report and Accounts;
- The Sustainability Report; and
- Periodic updates via the Corporate Responsibility section of the IWG website.
Monitoring
IWG’s Sustainability Team will maintain a Stakeholder engagement register documenting:
- Key stakeholder groups;
- Engagement frequency and format;
- Material topics raised; and
- Actions or commitments resulting from engagement.
This register supports IWG’s materiality assessment process and ensures traceability of Stakeholder input.
Evaluation
Engagement effectiveness will be evaluated annually against the following criteria:
- Breadth and diversity of Stakeholder participation;
- Relevance and materiality of topics raised;
- Integration of feedback into policies or strategic decisions; and
- Stakeholder satisfaction with engagement processes (where applicable).
Findings will inform continuous improvement and disclosure in IWG’s Sustainability Report.
Just Transition
IWG is committed to supporting an ethical and fair transition to a low-carbon and nature-positive economy. We aim to protect people from inequality or vulnerability, ensure fair opportunities during change, and uphold human and labour rights across our value chain.
We will:
- Distribute emissions reduction fairly across operations and suppliers;
- Mitigate adverse human or community impacts of our transition plans;
- Provide training to employees on sustainability issues and emerging best practices;
- Engage with customers, suppliers, and partners to raise awareness of environmental and social topics; and
- Respect land and resource rights of local and Indigenous communities.

Roles and Responsibilities
IWG’s independent Board of Directors, regularly reviews and assesses performance and ensures alignment with its corporate strategy. The Board sets targets and frameworks to comply with, for the business, based on the business department and jurisdiction.
- Board of Directors: Oversight of Stakeholder engagement strategy and integration into IWG’s corporate strategy.
- Executive Leadership team: Ensure that engagement outcomes inform decision-making and business planning.
- Sustainability Team: Coordinates engagement activities, maintains records, reports on outcomes.
- All employees: Contribute to open and respectful engagement with internal and external Stakeholders.
Compliance
Compliance with the Stakeholder Engagement Policy will be monitored by IWG’s Sustainability Team with annual reporting to the board and external disclosure in IWG’s Sustainability Report. Non-compliance will be escalated in accordance with IWG’s internal risk management processes.
